It starts working in the briefing call, where you decide whether the examples will land in the room.

Four weeks before the event, the goal, the audience, their prior knowledge and the three touchiest topics in the company should all be clear.

Speaker profile, photo, final talk title and a short abstract are needed early – often months ahead, for the invitation, the programme and the press.

Live demos put real demands on the technology: the speaker's own laptop, a stable connection, sound from the machine, a confidence monitor.

Placement in the agenda matters: an AI keynote works far better before the discussion than after dinner.

A short follow-up and a handout extend the effect – otherwise the momentum fades within a week.

Do you know the feeling when a talk looked perfect on paper and still failed to ignite the room? It is rarely the speaker, and rarely the topic. It is usually that nobody discussed beforehand what this talk was actually meant to achieve. After several hundred appearances on artificial intelligence I can say this much: the minutes on stage are the visible part of the work. The effective part happens before.

Why Does Preparation Decide the Impact of an AI Keynote?

Artificial intelligence is not a neutral subject. In every company, one half of the room is curious and the other half is quietly asking: is this going to cost me my job? A speaker who does not know that will give a good general talk. A speaker who does know it will give your talk.

The difference is rarely a technology slide. It is the example. Whether I build a quotation, a shift plan or a client meeting record live on stage makes an enormous difference to the audience – and almost none to my preparation effort. Provided I learn in good time how your people actually spend their day.

What Belongs in a Good Briefing?

A briefing is not a form, it is a conversation of thirty to sixty minutes. Five points should come up. First the goal: should the talk shake people up, calm them down, provide orientation or prepare a decision? Second the audience: board, senior management, the whole workforce, customers – the altitude differs fundamentally. Third the prior knowledge: is the company already working with Copilot or ChatGPT, or is this the very first contact?

Fourth the sensitive points: is there a reorganisation under way, a works council with a firm position, a failed software rollout everybody still remembers? A speaker does not have to avoid those topics, but should know about them. And fifth the follow-up: what happens after the talk? An impulse without a next step is a pleasant evening, nothing more.

Which Materials Do You Need From the Speaker – and When?

Considerably earlier than most people plan for. As soon as the invitation goes to print or into the mailing list, you need the speaker profile, a press photo in print quality, the final talk title and an abstract of three to five sentences. For larger conferences, a biography, references and a short video are added.

My practical tip: request these materials right when you confirm the booking, not when the agency starts chasing you. And choose the title deliberately. "Artificial Intelligence in Mid-Sized Companies" fills no hall. "What AI Will Take Off Your Desk From Tomorrow" does. The title is the first marketing asset for your own event.

What Matters for Technology and Stage Setup?

Anyone working with AI live needs more than a projector. Four things are worth checking with the venue team: a connection for the speaker's own laptop instead of a central presentation machine, a stable network with enough bandwidth – by cable or private mobile connection if in doubt –, sound routed from the laptop into the house system, and a confidence monitor so the speaker does not have to work with their back to the audience.

Sounds trivial? These four points are the most common reason why a planned live demo quietly turns back into a slide. A technical check on site, thirty minutes before the doors open, costs you almost nothing and saves the most powerful part of the talk.

How Do You Plan the Agenda So the Talk Keeps Working?

An AI keynote opens a door, it does not close a topic. So it belongs where something still happens afterwards: before the discussion, before the workshop round, before the strategy session – not as a nightcap after dinner. Plan at least fifteen minutes for questions; in my experience the most interesting ones come from the back rows.

And build in a follow-up: a handout with the use cases shown, a named contact inside the company, a date for the next step. The momentum after a good talk lasts about a week. Use that week and you get projects. Let it pass and you get memories.

Planning an event? As a keynote speaker for artificial intelligence, digitalization and Microsoft 365, I bring technology topics to the stage in a way that sticks – hands-on, entertaining and immediately actionable. Book an AI keynote: content, formats and fee at a glance.

Frequently Asked Questions (FAQ)

How Long Before the Event Should the Briefing Happen?

About four weeks ahead. By then the programme is stable enough for concrete arrangements, and there is still time to tailor the examples to your company.

What Information Should an Organiser Always Provide?

The goal of the talk, the make-up of the audience, their prior knowledge of AI, current projects, and the topics that are emotionally charged in the company right now.

When Do You Need the Speaker Profile and Photo?

As soon as the invitation is produced, which is often three to six months before the date. Profile, photo, title and abstract are available from me right after the booking is confirmed.

What Happens if the On-Site Technology Fails?

There is a plan B: prepared recordings of the key demos. The technical check beforehand means that plan B is almost never needed.

Can the Talk Be Tailored to a Specific Industry?

Yes, and that is exactly what the briefing is for. The structure stays, the examples change – from the sales team to the bank branch to production planning.

Planning an AI keynote?
